From an idea to collection

Orders & Service → Custom Orders

Every custom order moves along the same road: Inquiry → Quoted → Approved → Deposit paid → In production → Quality check → Ready → Delivered. The order page shows where it is and what to do next.

The customer gets a tracking link (copy it or send it on WhatsApp). It shows the status and the updates you mark as visible — never your costs or the karigar.

  1. 1 Custom Orders → New custom order: choose the customer, add the photos or sketches they showed you, the metal, size, stones, engraving and the date they need it.
  2. 2 Give the estimate: weight, making and wastage at today's rate. Print it for their signature. It is valid for the days set in Settings → Orders & Service.
  3. 3 Mark it approved, take the deposit (held on their deposit account), then Send to the workshop. With Manufacturing on, a work order is raised and materials are reserved; with only Karigars on, choose the karigar.
  4. 4 When the piece is finished and passes QC, the order is Ready: the final price uses the finished weight at the rate held since approval, and the piece is reserved for them.
  5. 5 Press Hand over at the POS. The deposit is used at the till and they pay the rest; the order becomes Delivered.

Revisions, cancellations and deposits

Revising an estimate keeps the old one on record. A number of revisions are free; after that the revision fee is added (Settings → Orders & Service).

Cancelling keeps a share of the deposit — a smaller share before work starts, a larger one once it has. The rest is refunded or kept as store credit, as the customer chooses.

Deposit 30,000, cancelled after production started, fee 50%

  • Kept by the shop: 15,000
  • Back to the customer: 15,000 (refund or store credit)

This chapter describes the software as it is today. Every account gets the same guide inside the product, searchable and printable.
